Excel Magic: IGNITE your PROCESS NINJA POWERS

I don’t think it’s any secret that I LOVE Excel.  With all the love I have for Excel, I’m still greatly perplexed as to why more people don’t utilize this amazing software more.  Why most people only use it to put together a basic spreadsheet to add up a column or two of numbers.  

Come on people! Don’t you realize that excel can make your life sooooo much easier? Trust me on this one. Excel has been my main system for improving the lives of my clients!

I shared some of my tips for streamlining excel in a previous blog post – 5 Easy Tips to Streamline Your Excel Experience.

I don’t want to rehash these tips, rather I want to share with you some real-life examples of how I’ve improved my clients’ lives using only excel. 

Here are some examples:

  1. Weekly Report

    1. There was once a weekly report that took all day on Monday to create. Data had to be pulled from multiple sources of truth, reformatted, manipulated, and put into graphs/tables so that it would make sense to the higher ups. 


“8 Hours? Come on, we can do better”, I said.

And better we did! Using formulas, VLOOKUPs, PivotTables and Graphs, this weekly report no longer took 8 hours to do, it took 20 minutes.
8 hours down to 20 MINUTES!!! 


That’s a time savings of:

7.7 hours a week, 30.7 hours a month (3.8 days) and 

398.7 hours a year (49.8 days)


DAMN!!  Excel you’re crazy! I’m going on an extra vacation with that time!




  1. Quarterly Audit

    1. A busy admin had to audit her team members' information in 2 systems. There were over 300 employees to compare. The comparison was being done by hand. She was printing off two sets of information and going line by line. Is their name the same? Address? Employee number? Social Security Card? You get the picture. Yuck. 


She had only gotten ½ way through and it had already taken her a day and a half. 12 hours.  And only ½ way through. So, you’re looking at a 3-day process. Yuck again. 


Excel to the rescue. By creating a template with VLOOKUPs and IF equations, all that is needed is a dumb of the information from each system and then wall-a, excel tells you, within seconds, which information is the same and which information is not the same.  Maybe then spend a couple of hours reconciling the incorrect information, and bam, you’re done!


24 hours (3 days) down to let’s say 4 hours (1/2 a day)!!! 


On this quarterly task, that’s a time savings of:

20 hours a quarter and 80 hours a year (10 days)

I know, not as impressive as the weekly report, but a much better and more accurate process than going line-by-line.

Sold on learning excel yet? 

How could you not be after seeing that these two little examples, together, have an astounding time savings of almost 60 days a year. That’s 12 weeks!!!  3 MONTHS! 

What would you do with an extra 3 months a year? Go on vacation? Get more clients? Complete some of those projects that have been on your to-do list for forever? Be home for your family more?
